2. Information we collect

Information you provide

When you use the Start Your Project form, we collect:

The first enquiry form does not accept file uploads. Do not include confidential drawings, material formulations, complete test reports, customer-restricted information or anything else that you are not authorised to disclose.

Information collected when you use the website or form

We may also process:

We may process an internet protocol address temporarily to protect the form and apply rate limits. We do not store it in the enquiry record. The system may retain a pseudonymous security value instead. That value is not intended to identify you directly.

3. Why we use personal information

We use personal information to:

A project enquiry does not give us permission to send unrelated marketing. If AEVISS introduces marketing subscriptions, they will use a separate, optional choice.

4. Legal grounds

The legal ground depends on why we process the information and which law applies. We rely on one or more of the following:

Confirming that you have read this policy records that we presented the information to you. It is not consent for every processing purpose and is not consent to marketing.

5. Information required for an enquiry

To submit an enquiry, you must provide your full name, work email address, company or organisation, project description and acknowledgement of this policy. We cannot assess or respond to an online enquiry without this information. Your role or function is optional.

You are not legally or contractually required to submit an enquiry. If the online form is not suitable, you may contact us at the email address above.

6. Who receives personal information

Only authorised company personnel who need enquiry information for sales, engineering, management, security or service administration may access it. We do not forward website enquiries to overseas distributors, partners or other outside companies for their own use.

Service providers acting on our instructions help us operate the website and communications. The approved production architecture uses Alibaba Cloud services in Hong Kong for hosting, databases, object storage, security operations and email delivery. Google Analytics may process analytics information only when it is enabled and you have given the required consent.

We may disclose information if the law, a binding legal process or a competent authority requires it. We may also disclose information where reasonably necessary to protect legal rights or system security. We do not sell or rent personal information.

7. International processing

The production website stores enquiry information in Hong Kong. Authorised company personnel in mainland China may access it for the purposes described in this policy. If you use the site from another country, your information may therefore be transferred to and processed in Hong Kong and mainland China, where data protection rules may differ from those in your location.

We use access controls, encryption, contractual controls and other organisational and technical measures to protect personal information. We take steps to comply with applicable data protection law when information is processed internationally, including contractual and technical safeguards where required. You may contact us for information about safeguards that apply to your information.

8. How long we keep information

We normally keep an identifiable project enquiry for 24 months after submission. This allows us to evaluate and follow up on the programme and maintain an appropriate business record. If an enquiry leads to a contract or legal dispute, we may keep relevant information under the separate rules and legal requirements that apply to that relationship or claim.

Other records have the following retention periods:

Temporary encrypted recovery records are created only if the primary database cannot reliably save an enquiry. Google Analytics uses the provider's default retention and cookie settings. The current settings and durations are described in the Cookie Policy.

We may keep records longer where reasonably necessary for a documented security investigation, legal obligation or legal claim. We then delete or anonymise them where appropriate.

9. Your rights

Depending on the law that applies to you and any legal exceptions, you may have the right to:

To make a request, email aeviss@swjt-fx.com and describe your request and the enquiry concerned. We may ask for information reasonably necessary to verify your identity and protect other people's information.

For requests governed by the EU GDPR or UK GDPR, we will respond without undue delay and normally within one month. If those laws allow it and a request is complex or numerous, we may extend the period by up to two further months. We will explain the extension within the first month. We will handle other requests within the period required by the applicable law.

10. Automated checks

The enquiry service uses automated checks for field validation, rate limiting, security risk indicators and possible duplicate submissions. These checks may delay or reject an online submission. They do not make decisions that produce legal or similarly significant effects about you.

If you believe the system incorrectly blocked a legitimate enquiry, email aeviss@swjt-fx.com for human assistance.

11. Security

We use measures intended to protect personal information from unauthorised access, loss, misuse or alteration. These measures include encrypted transmission, access controls, restricted administrative permissions, audit records and encrypted emergency storage.

No internet service can guarantee absolute security. Do not submit confidential or restricted project material through the first enquiry form.

12. Cookies and analytics

We may use essential technologies to operate and protect the website. We use non-essential analytics technologies, including Google Analytics where enabled, only in line with your applicable consent choice. The Cookie Policy and cookie controls explain the technologies, providers, purposes and retention settings.

13. Children

The website and project enquiry service are for business and professional users. They are not directed to children, and we do not knowingly collect personal information from children through the enquiry form.

If you believe a child has provided information, contact us so that we can review it and delete it where appropriate.

14. Third-party websites

The website may link to third-party websites. Those websites process information under their own privacy policies, not this policy. Review their policies before providing personal information to them.

15. Changes to this policy

The version and effective date at the top of this page identify the current policy. We may update it if the website, our processing activities or applicable requirements change. Where the law requires it, we will provide additional notice of a material change.

16. Contact and complaints

Send questions, requests or complaints about this policy or our handling of personal information to aeviss@swjt-fx.com. You may also write to the address in section 1. We will review the matter and respond as required by applicable law.

Where applicable, you may complain to the data protection authority in the EU or EEA country where you live or work, or where you believe an infringement occurred. You may also contact the UK Information Commissioner's Office, Singapore's Personal Data Protection Commission or Malaysia's Personal Data Protection Commissioner, where applicable.

We will publish contact details for any formally appointed EU or EEA representative, UK representative or Singapore Data Protection Officer before relying on that appointment for the relevant market. This policy does not state that those appointments have already been completed.
